Therapy Agreement

1. Introduction

The following outlines the services offered by TWA Psychology Collective Limited, as well as the expectations for both clients and their treating therapists. If you choose to engage with our services, this information also serves as the terms and conditions governing the agreement between us. Please read this carefully and contact us if you have any questions. Before attending your initial appointment, this therapy agreement must be completed and signed. Thank you.

2. Confidentiality

All sessions are confidential. This means that information shared will not be disclosed to others without your consent, except in the following circumstances:

  • Where there is a risk of serious harm to yourself or others
  • Where there is disclosure of abuse of a child or vulnerable adult
  • Where there is a legal requirement (e.g. court order or terrorism/drug trafficking disclosures)
  • When discussed anonymously with a clinical supervisor for professional oversight (this helps to ensure that you receive safe, ethical, and high-quality service)

Whenever possible, the therapist will speak with you before sharing information with others.

3. Fees & Payments

  • Standard fee: £120 per 50-minute session.
  • Payment is due before each session via bank transfer 48hrs in advance.
  • You will be notified of any changes to fees in advance.
  • Written assessment reports are not included in the fee for assessment or therapy and can be provided at an additional fee of £70.
  • Written materials provided throughout therapy from your therapist may be made available to you, this does not include books or other resources that may be suggested to you. 
  • In the event of non-payment of sessions, TWA Psychology Collective Limited reserves the right to cancel pre-booked sessions and pursue unpaid fees amicably at first, and through legal means if necessary.

Payment terms

  • An invoice will be sent to you after booking and must be paid prior to your session/treatment block (unless paying by insurance).
  • If paying directly, preferred method is through calendar site using Stripe or bank transfer to the following account:

  • Cheque payments are not accepted.

4. Cancellations/Missed Appointments and Late attendance

  • Please provide at least 48 hours’ notice to cancel or reschedule a session.
  • Cancellations with less than 48 hours’ notice or non-attendance will be charged at the full rate.
  • In the rare event that your therapist needs to cancel an appointment, you will be notified at the earliest opportunity and offered the option to reschedule.
  • If your therapist is delayed by more than 10 minutes, they will make every effort to contact you and advise of the delay. You will still receive the full duration of your scheduled session once the therapist arrives.
  • If you are delayed for your session, please notify your therapist by email, phone, or text message. Your session will proceed for the remainder of the scheduled time; however, the therapist is unable to extend the session beyond the allotted slot, as this may impact subsequent clients. Please note that if you choose to end your session early, the full session fee will still apply.
  • Exceptions may be made in cases of emergency at the discretion of the therapist. Please let us know at your earliest convenience. A decision is made on a case-by-case basis.

5. Insurance and Third-Party Funding

If you are using private health insurance or another third-party funder:

  • It is your responsibility to confirm that your policy covers therapy and to provide any preauthorisation or claim reference details in advance.
  • Sessions covered by insurance, payment is collected directly from the insurer, and the full fee is covered. The client is not required to make payment unless for an excess fee, cancellation fee, report or other special circumstance. You will be informed about any payments required by you in advance. 
  • If sessions are not-preauthorised, you remain responsible for full payment of any outstanding invoices. TWA Psychology Collective Limited reserve the right to cancel pre-booked sessions and take appropriate steps to recover unpaid fees. 
  • If your insurer or funder fails to cover a session (due to eligibility, missed sessions, or policy limits), you are responsible for the full payment. You will be charged directly, not your insurer. 

We may invoice the provider directly where appropriate. We will only share information necessary for reimbursement, which may include:

  • Session dates and duration
  • Diagnostic information (if required)
  • Brief progress summaries or reports (with your prior written consent)

If a report is requested by the insurer or funder, we will seek your written permission before sharing it unless legally required otherwise.

6. Risks and Responsibilities

Engaging in psychological therapy can bring emotional discomfort, especially when exploring past experiences, relationships, or difficult emotions. This is a natural and sometimes necessary part of the therapeutic process.

Your Responsibilities:

  • Attend sessions on time and as agreed
  • Engage in the work to the extent you feel able
  • Let me know if you feel overwhelmed, unsafe, or are considering ending therapy
  • Inform me of any relevant changes in your circumstances, mental health, or risk

My Responsibilities:

  • Provide a professional, safe, and confidential space for therapy
  • Work ethically in line with HCPC and BPS codes of conduct
  • Monitor risk and discuss appropriate referrals or support options where needed

Emergency Procedures:

Please note that this is not an emergency or crisis service. I am not able to offer out-of-hours or immediate support.

In the event of a mental health crisis or emergency, please contact:

  • Your GP or out-of-hours GP service
  • NHS 111 (available 24/7 for urgent medical advice)
  • Emergency services (999) if there is an immediate risk to life or serious harm
  • Your local A&E department
  • You can also contact mental health crisis teams (if available in your area) or call Samaritans on 116 123 (24/7 free service)

If you are concerned about someone else’s safety, please also call 999 or seek immediate medical support.

7. Information Sharing

If I need to liaise with another professional (e.g. GP, psychiatrist, social worker):

  • I will seek your written/electronic consent beforehand
  • I will explain what information needs to be shared and why
  • In emergencies or where someone is at risk, I may share information without consent, and will inform you of this as soon as it is safe and appropriate to do so.

8. Data Protection (GDPR)

  • Personal information is stored securely and only used for the provision of therapy
  • You have the right to access, correct, or request the deletion of your data
  • Clinical notes are retained for a period required by regulation and are then securely deleted

9. Use of Artificial Intelligence (AI) in clinical practice

  • As part of our commitment to maintaining efficient and accurate service, we may use AI-assisted tools for administrative purposes such as scheduling, transcription, and record-keeping (e.g., summarising session notes).
  • These tools comply with GDPR and ensure your data remains confidential and secure. AI is used to assist the therapist only and does not replace professional clinical judgement or personalised care (e.g., formulations & interventions).
  • No personally identifiable information will be entered into AI systems that do not comply with recognised privacy and security standards.
  • By using our services, you consent to the use of AI described in this section.
  • Please raise any questions or concerns with your therapist.
  • We always ensure that any use of these tools complies with UK GDPR and ethical standards for psychological practice. All outputs are reviewed by a qualified clinician before being included in the clinical record. You can view the privacy policies of the relevant providers

10. Endings and gaps in therapy

You may end therapy at any time. Psychological therapy can sometimes be challenging, emotional, and demanding. You may find certain aspects difficult to manage, and there may be times when you feel the need to pause or end therapy. Your feedback is valued, and you will be invited to share your thoughts at the end of each session. If you feel dissatisfied with any part of your treatment, please communicate this openly, as it provides an opportunity for you and your therapist to address and resolve any concerns. Typically, you will have a sense of when you are ready to conclude therapy, and together you and your therapist will plan and agree on the work needed to prepare for a positive and safe ending.

Your therapist may also end therapy if:

  • The service is no longer appropriate for your needs
  • Boundaries or agreements are repeatedly broken
  • Fees are not paid as agreed

In such cases, the therapist will explain their decision and suggest alternative sources of support. Therapists will not suddenly terminate the therapy contract, except in exceptional circumstances, which will be clear throughout the course of treatment.

  • Please note, any threats or acts of violence will invalidate this agreement and psychological therapy will cease immediately.
  • Sessions will not take place if you arrive under the influence of alcohol or non-prescribed medication.

Gaps:

  • You will be informed of any planned holidays well in advance. On occasion, sessions may need to be cancelled due to illness, training commitments, or professional meetings. In such cases, your therapist will provide as much notice as possible and offer an alternative appointment time. To ensure you can be contacted promptly about any changes, please keep your therapist updated with your current contact details.

If you are unhappy with the therapy that has been provided and feel unable to speak this through with your therapist and are unsatisfied with the proposed solutions, you have the right to make a complaint to the professional body, the BPS or HCPC.
